Job Title: Billing Specialist (Data Entry) - Construction Industry

Position Summary

We are seeking a detail-driven Billing Specialist to support our construction operations with a strong focus on data entry and invoice processing. This role is responsible for ensuring accurate billing for projects, maintaining financial records, and supporting administrative workflows in a fast-paced construction environment.

Key Responsibilities

Billing & Accounts Duties:

  • Prepare and submit client invoices, including progress billing and time & materials billing
  • Review contracts, purchase orders, and job cost data to ensure accurate billing
  • Track project costs, change orders, and billing schedules
  • Reconcile accounts and follow up on outstanding invoices
  • Assist with accounts receivable and resolve billing discrepancies

Data Entry & Administrative Duties:

  • Accurately enter job data, invoices, and financial information into accounting systems
  • Maintain up-to-date records of project billing, vendor invoices, and payments
  • Audit data for accuracy and correct errors as needed
  • Generate billing and financial reports for project managers and leadership
  • File and organize documents such as contracts, invoices, and lien waivers

Qualifications

  • High School Diploma or GED required; Associate's degree in Accounting or related field preferred
  • 1-3 years of billing, accounting, or data entry experience (construction industry preferred)
  • Familiarity with construction billing processes (AIA billing, job costing, or progress billing is a plus)

Skills & Competencies

  • Strong data entry accuracy and attention to detail
  • Proficiency in accounting software (e.g., QuickBooks, Sage, or similar) and Microsoft Excel
  • Understanding of construction documents such as contracts and change orders
  • Ability to manage multiple projects and deadlines simultaneously
  • Strong communication and organizational skills
  • Ability to handle confidential financial information with discretion
